Chapter 5: Contact details

This chapter provides information on contact details available for Operators, Disposal Facilities, contact people and users.

Overview

OWLS enables the authorised users for a disposal facility to view and update contact details.

The Data Entry user only has view access to this functionality.

Screen Description
Operator

Contains the address, email and phone details for the disposal facility ‘operator’.

The Verifier can update the details, as required.

Contact Details

Contains the address, fax and phone details for the disposal facility.

The Verifier can update the details, as required.

Contact People

Contains the name, position, type, address, email, fax and phone details for a contact person for a disposal facility.

The Verifier can create a new contact, and update the details, as required.

Signing Authorities

Contains a list of the users for OWLS.

The Verifier can view the user details, and de-activate the user if required.

 

Update operator details

When to use

Use these steps to update the details for the operator of your facility.

Click on the Contact details link in the Operator section in the Content Panel.

Result: The Levy Operator – Contact Details screen displays.

Click the Edit link beside the contact type you want to update.

Type

Action

Postal address A new window displays the postal and physical address. If the postal address is the same as the physical, click the Same as physical address check box. Click Save.
Physical address A new window displays. Complete the following fields:
  • Address – enter the street address. The first address line is mandatory
  • Suburb – enter the suburb (mandatory)
  • City/Town – select from the drop-down list (mandatory)
  • Post code – enter the four-digit code if required
  • Country – select from the drop-down list (mandatory)
Click Save.
Email Enter the email address, then click Save.

Phone

Enter the phone number, then click Save.

Update disposal facility details

When to use

Use these steps to update the details for your facility.

Click on the Contact Details link in the facility section of the Content Panel.

Click the Edit link beside the contact type you want to update.

Type Action
Physical address A new window displays. Complete the following fields:
  • Address – enter the street address. The first address line is mandatory
  • Suburb – enter the suburb (mandatory)
  • City/Town – select from the drop-down list (mandatory)
  • Post code – enter the four-digit code if required
  • Country – select from the drop-down list (mandatory)
Click Save.
Postal address A new window displays the postal and physical address. If the postal address is the same as the physical, click the Same as physical address check box. Click Save.
Email Enter the email address, then click Save.
Phone Enter the phone number, then click Save.
Fax Enter the fax number, then click Save.

Add or update details for a contact person

When to use

Use these steps to add or update the contact people for your facility.

A contact person is not necessarily a user of the site.

Click on the Contact persons link in the Content Panel.

Result: The Disposal Facility – Contact persons screen displays.

  • add a new contact person, click the New contact button
  • edit the details for a person, click the Edit link
  • view the details for a contact person whose details have expired, click the View link.

Complete or update the following fields:

Field

Description

First name Enter the first name of the contact (mandatory).
Last name Enter the last name of the contact (mandatory).
Email address Enter the email address, if required.
Position Enter the job/position of the contact, if required.
Contact type Select the contact type (mandatory):
  • General – general contact person
  • Returns – the contact person for returns entry
  • Financial – the contact person for financial details, and the person to whom the invoice will be sent.
Note: You must have at least one General contact person for your facility.
Preferred method Defaults to email.
Landline phone Enter the phone number (mandatory).
Mobile phone Enter the mobile number, if required.
Fax number Enter the fax number, if required.
Effective from date Enter the date the change is to take effect from.
Effective to date Leave blank, unless the person is no longer a contact.
Contact address Complete the work address section, if different to that of the facility:
  • Address – enter the street address. The first address line is mandatory
  • Suburb – enter the suburb (mandatory)
  • City/Town – select from the drop-down list (mandatory)
  • Post code – enter if required
  • Country – select from the drop-down list (mandatory).

Click the Save button.

View signing authorities (users)

When to use

Use these steps to view or de-activate users for your facility.

Note: If you require a new user (signing authority) to be set up, you will need to complete the Signing Authorities form.

Click on the Signing Authorities link in the Content Panel.

Result: The Signing Authorities screen displays.

Click on the Name of the user to view details as required.

Note: To de-activate a user, update the Date To field, and click Save.
